Importing Targets from CSV

Overview

This article covers the details of the "CSV Import" modal from start to finish. There are three ways to navigate to this modal. All three options provide the same configurable import settings, and are linked below as sections under the "CSV Import Modal" section.

This article assumes that a properly formatted CSV has been made and is ready to be imported into the Portal. To ensure proper CSV formatting, see our How to properly format a CSV file article

NOTE: Deactivating targets will set their status to "inactive". Inactive targets do not count against provisioned seat limits. Furthermore, inactive targets will remain in the Portal so that no data is lost.

CSV Import Modal 

The CSV Import modal is where the configuration of a target import is defined. The modal is displayed below:

The CSV Import modal has the following configuration options:

  1. Select a group or create a new one - Select an existing group from the dropdown to import the targets to. A new group can also be created for the target import from this dropdown. 
  2. Select CSV file - Click on "Choose File" to select the finished target CSV file to import into the group.
  3. Field Separator - Select the field separator that will be used to parse the CSV file for review and import. The options for the Field Separator are:
    1. Comma ( , ) (Selected by default), 
    2. Semicolon ( ; ), and
    3. Pipe ( | ). 
  4. Import Options - Optional settings for the import. 
    • File Contains Header Line - If the CSV file contains a header line (i.e., contains a row at the top of the CSV dedicated to organizing columns such as "first_name", etc.), this option, when enabled, will skip this row. Please note that this option is enabled by default. 
    • Update Record If It Exists Already - If an email address (which is unique to each target) already exists within the group that the CSV file is being imported to, the existing target information will be updated with the new information that is contained within the CSV file, rather than skipping the record. Please note that this option is enabled by default. 
    • Only Update Existing, Active Targets in Group - If enabled, targets that are in the CSV file being imported, that are already active in the group, will be updated with the new information within the CSV. 
    • Only Update Existing, Active Targets in Account - If enabled, the targets that are in the CSV file that are active in ANY group in the account will be updated with the new information within the CSV. 
    • Archive Targets in Group if Not Present in File - If enabled, and a target within the group being imported to is not present in the CSV import file will be archived. 
    • Archive Targets in Account if Not Present in File - If enabled, targets within the account that are not present in the CSV import file will be archived. 

Once satisfied with the configuration made, click the "Review Import" button. Once you have clicked this button, the system will allow you to map the fields in the file to the Portal's default target fields and custom fields that have been previously configured in Group Settings. 

If the CSV column names have a close match to existing target field on the Portal, they will be automatically mapped. If you do not want certain fields to be imported for the targets, then select the dropdown on the desired column, and then select "[ Do Not Import ]".

If the configuration of the import looks correct, and the fields are properly mapped, click the "Import Now" button. If the configuration does not look correct, click the "Back" button to return to the previous step.

Once you click the "Import Now" button, the results of the import will be shown in real-time. It is not necessary to stay on this page -- navigation to other pages will not effect the result of the import. On this page, the following three buttons will be displayed:

  • Manage Group - This will direct you to the Manage Groups page for the group that the CSV imported targets to. 
  • Download Import Log - This will download the import log, in CSV format. This log contains the email address of the target, the result of the import, and message (error message) data, which can help with troubleshooting. 
  • New Import - This will allow for the configuration of another CSV import, with the same group auto-selected.

     

Manage Targets Page Navigation

The CSV Import modal can be reached by navigating to Targets / Groups > Manage Targets. From here, click the "Import" button on the top-right of the table. This will bring up the CSV Import modal

 

Campaign Wizard Navigation

To perform a CSV import during campaign creation, navigate to Tests / Campaigns > + Create Campaign. Then, perform the following steps:

  1. Select a Campaign Type.
  2. Click "Save & Next".
  3. Configure the "Schedule" tab of the campaign (e.g., enter a campaign name, target group, etc.) and enable the "Target Selection" toggle. Please note that the selected group is where the targets will be imported to.
  4. Click "Save & Next". 
  5. On the "Targets" tab, click the "Import" button on the top-right of the table. This will bring up the CSV Import modal

Create a New Group and Import Targets via CSV Navigation

To create a new group and perform a CSV import on the newly created group, navigate to Targets / Groups > + Create Group. Then, follow our Create Groups and Import Targets article. 

 

Troubleshooting CSV Imports

If the import fails, or there is unexpected behavior with the import, it is recommended to press the "Download Import Log" button for further information regarding the import. In order to alleviate CSV Import issues, please see our How do I fix issues with CSV importing? article. 

A common issue with imports is not having enough seats provisioned for the account. How a CSV Import will be handled when the number of new, active targets in the import exceeds the number of available seats in the account depends on the settings configured under Administration > Settings > Account Settings, under the "Group & Target Settings" on the top-left of the General tab. 

It may be necessary to archive targets that are no longer needed (which can be done by enabling the above CSV Import modal options). Further, contacting the manager of the account to provision more seats could also be necessary.
