Create Groups and Import Targets

Overview

Before performing phishing campaigns/tests or creating students for training, a group with targets must exist. This article covers the process by which targets can be imported into a newly created group.

Ensuring Proper Formatting of a CSV Import File

It is good practice to ensure that the CSV file that is being imported is formatted correctly to reduce the likelihood that importing issues arise during the importing process. To ensure that the CSV file is formatted properly, please see our How to properly format a CSV file article.

Creating a Group and Importing Targets via a CSV File

To create a group and import targets to this group via a CSV file, please follow the steps below:

  1. Navigate to Targets / Groups > + Create Group
  2. On the "Group Settings" page, start by giving the group a unique, descriptive name under "Group Name". Then, select the Default Language and Default timezone for the group, and provide any administrator emails that this group should have. Administrators also have a default language, which can be selected using the drop-down to the right of the administrator email field. 
  3. Under the "Third-Party Sync Setup" section, select the "Select Integration Type" dropdown for the "Third-Party Syncing" field. Then, select the "CSV" option from this dropdown. 
  4. Once the above steps have been completed, and the information for the group is verified to be correct, select "Create". This will create the group configured above, and then display the "CSV Import" modal. 
  5. On the "CSV Import" modal, the "Select a group or create a new one" will be auto-selected to the group created in steps 2-4. 
  6. Under the "Select CSV File" section, select "Choose File". This will allow for the selection of the CSV file that contains the targets that are going to be imported into the group. 
  7. Under "Field Separator", select the separator that will be used to parse the CSV file for import. The default selection is "Comma ( , )". 
  8. Under the "Import Options" section, the following options are available:
    1. File Contains Header Line - If the CSV file contains a header line (i.e., contains a row at the top of the CSV dedicated to organizing columns such as "first_name", etc.), this option, when enabled, will skip this row. Please note that this option is enabled by default. 
    2. Update Record if it Exists Already - If an email address (which is unique to each target) already exists within the group that the CSV file is being imported to, the existing target information will be updated with the new information that is contained within the CSV file, rather than skipping the record. Please note that this option is enabled by default. 
    3. Only Update Existing, Active Targets in Group - If enabled, targets in the CSV, that are active in the group, will be updated with the new information from the CSV. 
    4. Only Update Existing, Active Targets in Account - If enabled, the targets that are in the CSV file that are active in ANY group in the account will be updated with the new information within the CSV. 
    5. Archive Targets in Group if Not Present in File - If enabled, targets within the group being imported to that are not present in the CSV import file will be archived. 
    6. Archive Targets in Account if Not Present in File - If enabled, active targets within ANY group within the account that are not present in the CSV import file will be archived (in ALL groups). 
  9. Click "Review Import" on the bottom-right of the "CSV Import" modal. 
  10. Review the CSV Import and map the target fields to the CSV's columns, if needed. Once the import configuration looks correct, click "Import Now". 
  11. A redirection to a page that displays the import progress in real time will occur. This page will also display the following three buttons:
  • Manage Group - This will direct you to the Manage Groups page for the group that the CSV imported targets to. 
  • Download Import Log - This will download the import log, in CSV format. This log contains the email address of the target, the result of the import, and message (error message) data, which can help with troubleshooting. 
  • New Import - This will allow for the configuration of another CSV import, with the same group auto-selected.

Please note that it is not necessary to stay on this page -- navigation to other pages will not effect the result of the import. 

After following these steps and achieving a successful import, the account is ready to Safelist Phishing and Training Emails!

 

Troubleshooting CSV Import Issues

If the import fails, or there is unexpected behavior with the import, it is recommended to press the "Download Import Log" button for further information regarding the import. In order to alleviate CSV Import issues, please see our How do I fix issues with CSV importing? article. 

A common issue with imports is not having enough seats provisioned for the account. How a CSV Import will be handled when the number of new, active targets in the import exceeds the number of available seats in the account depends on the settings configured under Administration > Settings > Account Settings, under the "Group & Target Settings" on the top-left of the General tab. 

It may be necessary to archive targets that are no longer needed (which can be done by enabling the above CSV Import modal options). Further, contacting the manager of the account to provision more seats could also be necessary.
